Summary/Objective:

INDOT Seymour District is looking for a Seasonal Customer Service Assistant to serve as the department assistant assisting with customer inquiries and data entry. This can include written, verbal, and in-person communications to answer inquiries from the general public and elected officials in a timely manner communicating the agency message. Reports to and is accountable to the Customer Service Coordinator and Communications Director, and will work with the Customer Service Center in Central Office.

 

Employee’s primary contacts are with INDOT district and sub-district staff, central office staff, other INDOT area staff, elected government officials and the general public for the purpose of information gathering, information dissemination, problem solving, and supporting office policies and procedures communicating INDOT initiatives, projects and answering inquiries.

 

Essential Job Responsibilities:
  • Serve as first point of contact for all customer service inquiries, i.e. Customer Service Center, Traffic Management Center, and other local municipalities.
  • Answer customers telephone calls and inquiries.
  • Accurately enter data into statewide database and District-managed database, generate reports and manage the office filing system.
  • Provide clerical support for Communications staff that can include sorting/delivering mail, typing letters, developing mailing lists/labels, processing inquiries and various reports.
  • Assist Communications Director and Customer Service Coordinator in answering customer inquiries from the general public and elected officials. This can include investigating the concern, recommending ideas for resolution, drafting responses, contacting the customer with the appropriate information, and documenting all correspondence.
  • Assist communications department with a range of internal and external messages and projects that can include proactive outreach efforts among various audiences and statewide initiatives.
  • Interact with all district departments to proactively handle potential customer issues, and possibly reduce future complaints.
  • Perform other related duties as assigned.
Requirements:
  • High School graduate or equivalent. Associates degree in business or related field or two years experience of administrative experience preferred.
  • Ability to use multi-line telephone system.
  • Ability to understand, spell and use good grammar.
  • Ability to prioritize and understand INDOT departmental work processes and procedures in order to ensure our customers are satisfied.
  • Basic knowledge of the agency’s programs, practices, policies, procedures, objectives and goals of the communications sector.
  • Basic knowledge of public relations.
  • Considerable computer skills with Microsoft Office Software required.
  • Basic knowledge of PeopleSoft software preferred.
  • Ability to maintain confidentiality.
  • Excellent interpersonal skills.

If this is an Intermittent position, the position does not offer benefits and is limited to 180 working days in an eleven (11) month continuous period.
