About the Indiana Department of Administration (IDOA):
IDOA centrally manages activities relating to state purchasing, the vehicle fleet, state travel, real estate leases, property disposition, and the Government Center Campus, among others. In addition to agency support, the department provides assistance to minority, women, and veteran business enterprises interested in state contracting opportunities. Through its activities, IDOA helps to ensure the smooth function of state government, finding efficient and effective solutions to government-wide needs.
Salary Statement:
The salary for this position traditionally starts at $42,900.00 but may be commensurate with education or work experience.
A Day in the Life:
The essential functions of this role are as follows:
- Take incoming calls from State agencies to schedule maintenance or body shop repairs to state-owned vehicles.
- Scheduling appointments for incoming maintenance work
- Open work orders, apply appropriate line items, verify all information and time is correct when work is completed, and close work orders within 24 hours of completion of work
- Prepare estimates for vehicle repairs by applying appropriate labor hours and projected part costs
- Schedule appointments with outside vendors for subcontractor-type repairs (diesel repairs, alignments, windshield replacement, etc.)
- Coordinate outside repairs when requested by agency, when it is not logistically feasible to bring the vehicle to Fleet Service for repairs
- Direct the workflow of the shop by assigning jobs to maintenance technicians to maximize the efficiency of repairs and productivity in the shop
- Monitor all vehicles that come into Fleet Service for repairs through the preparation of an updated spreadsheet that details the location of the vehicle, the current disposition, and the projected completion date. This insures that vehicles are processed as they come in and work is not misplaced for an undetermined amount of time.
- Contact appropriate agency personnel to request approval for the necessary repairs identified
- Contact State agencies when their vehicles are due or overdue for preventative maintenance
- Coordinate and/or assist in securing towing services or repairs related to on-the-road breakdowns
- Coordinate with agency personnel on the pickup of repaired vehicles once all repairs are complete
- Assist in the daily management of DOC workers from IREF
- Coordinate and/or assist in the shuttling of vehicles to and from subcontractor repair shops

What You'll Need for Success:
You must meet the following requirements to be considered for employment:
- Minimum of a High School diploma, mechanic tech school a plus
- Must have a valid Indiana driver's license
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Above-average customer service skills
- Exceptional organizational skills
- Ability to perform other duties as assigned
- Working knowledge of Work Order Maintenance computer application, prefer knowledge of the Asset Works Fleet Focus M5 sy
