The salary for this position traditionally starts at $25,766 per year but may be commensurate with education and/or experience.

About the Job:

The Administrative Assistant reports to the Intake/Case Management Director.  They provide timely, appropriate, and professional responses to all public contact with the agency.  The Assistant will answer questions, make referrals, and forward calls to appropriate agency staff.  They serve as a professional staff member within the agency and provides a front-line response to the public for questions and issues concerning the agency. Further, they will assist in maintaining the the agency’s case management files, which includes updating both electronic databases and physical files.

This position requires a strong level of organization, as well as, interpersonal skills, integrity and sound judgment. The candidate is privy to sensitive and highly confidential information and receives instructions for new and complex tasks.

A Day in the Life:

The essential functions of this role are as follows: 


  • Answer and direct phone calls in a polite and friendly manner;
  • Welcome visitors in a warm and friendly manner and answer any questions visitors have;
  • Maintain reception area and all common areas in a clean and tidy manner at all times;
  • Operate standard office equipment on a regular basis including; fax machine, copy machine, and computer;
  • Keep detailed and accurate records of visitor requests and of calls received;
  • Analyze and apply relevant laws to establish agency jurisdiction;
  • Receive deliveries; sort and distribute incoming mail;
  • Research databases for correct contact information for relevant parties and witnesses;
  • Take inventory of supplies and restock as needed;
  • Maintain the general office case management systems (electronic and physical);
  • Other administrative tasks necessary for the operation of the ICRC office.

What You'll Need for Success:

  • Excellent customer service skills;
  • Practical knowledge of the Indiana Civil Rights Law and Federal Civil Rights Laws;
  • Interpersonal skills, especially when dealing with the public;
  • Detail orientated work ethic;
  • Strong organizational skills with the ability to manage various projects simultaneously;
  • Working knowledge of computers and Microsoft Office Suite;
  • Ability to type with speed and accuracy;
  • General knowledge of functions of other departments and agencies and their relationships to the intake/case control division.

Supervisory Responsibilities/Direct Reports:

This role does not provide direct supervision to direct reports.
