Role Overview:
This position serves as part of the Purchasing Team to provide procurement authority for the Indiana Department of Health, to carry out all procurement related duties in accordance with guidelines set forth through the Indiana Department of Administration. This role will work with all purchasing needs requested across the agency including, but not limited to contracts/grants, contractors, & supplies/equipment.
Salary Statement:
The salary for this position traditionally starts at $53,222.00 but may be commensurate with education or work experience.
A Day in the Life:
The essential functions of this role are as follows:
- Enter and ensure and all requisitions are approved, valid and within ISDH dollar delegation. Additionally, expedite to a purchase order within 2 business days of approval and validate the date and the purchase order is sent to the selected vendor with the program and contracts staff in copy.
- Ensure that every procurement file has all of the necessary supporting documentation to tell the story of who, what, when, where, why and how the purchase was done, including but not limited to the IDOA audit checklist and the recommendation for award document.
- Ensure that all IDOA procurement policies and procedures are followed.
- Ensure that all our internal and external customer needs are met. Customer service to internal and external customers is key to success in this position.
- Ensure that all issues are escalated to the Director, with a possible resolution to resolve the issues, when able. This includes looking at managing requisitions daily, to ensure requisitions are moving, as well as contracts are submitted to the Contract Team and, PO are expedited and dispatched timely.
- Ensure that all emails, phone calls, voice mails and any other form of communication is addressed within 1 business day. All internal and external customers must be provided with excellent customer service by meeting or exceeding the customers’ expectations.

This position is exempt from overtime compensation for additional work hours which may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and/or paid leave taken to receive their base biweekly salary.

You must meet the following requirements to be considered for employment:
- Knowledge or willingness to develop knowledge of all Encompass modules
- Knowledge or willingness to learn all aspects of IDOH Procurement and the Procurement Guidelines designated by IDOA Procurement
- Knowledge or willingness to develop knowledge of Finance Department functions and procedures, as well as all Departments within the Agency.
- Ability for problem solving.
- Ability to provide customer service with diplomacy and tact
- Aptitude for business and mathematics
