Salary:

The salary for this position traditionally starts at $47,320 per year but may be commensurate with education.

A Day in the Life:

The essential functions of this role are: 

  • Edit and update requisitions, ensuring chart fields are correct and shipping information is correct in Peoplesoft Financials.
  • Contact requesters for clarification if needed.
  • Route edited requisitions to lead buyers for the Purchasing Manager's approval.
  • Assist requesters with entries and guide them through the entry process via phone
  • Manage purchase order files, following up to confirm delivery invoices were obtained.
  • Process invoices.
  • Monitor purchase orders throughout the payment process.
  • Close purchase orders when payments are completed.
  • Troubleshoot issues with delivery, items, etc.

What You'll Need for Success:

You must meet the following requirements to be considered for employment: 

  • Extensive knowledge of purchasing methods, procedures, laws, and regulations establishes by the state and agency.  
  • Knowledge of bookkeeping principles and practices related to the maintenance of accurate and systematic purchasing records. 
  • Extensive knowledge of PeopleSoft Procurement and Purchasing modules, with knowledge of PeopleSoft Accounts Payable Module.  
  • Ability to prepare report and maintain accurate statements of inventory, contractual agreements, and related Financial Statements.  
  • Ability to initiate correspondence for purchasing processes; to establish agency goals.  
  • Ability to prepare and interpret simple specifications and to analyze bids 
  • Effectively communicate with different state agencies, external and internal customers, and different vendors.  
  • Ability to develop effective relationships with vendors and contract service professionals. 
  • Ability to discover, reconcile and report discrepancies in purchasing agreements and accounts.  
  • Ability to perform all functions in a timely manner.
  • Able to perform essential functions with or without reasonable accommodation.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
