About the Job:

The Special Assistant contributes to the mission of the Lieutenant Governor's office by providing prompt and safe transportation of the Lieutenant Governor to communities throughout Indiana. In coordination with the Deputy Chief of Staff and at the direction of the Director of Scheduling, the Special Assistant drives the Lieutenant Governor to all meetings, events, and public appearances. The Special Assistant also coordinates all supporting travel needs and maintains travel logs and maintenance records.  

A Day in the Life:

The essential functions of this role are as follows: 

  • Responsible for safely transporting the Lieutenant Governor to various meetings and events throughout Indiana; 
  • Required to coordinate all travel needs with the agency travel coordinator, including vehicle and overnight accommodations, including those for the special assistant;
  • Responsible for collecting all documentation needed for expense reports and fuel receipts generated from the use of the Wright Express (WEX) card and submit to the agency travel coordinator;
  • Serve as a liaison between the office and IDOA with regard to scheduling maintenance items for vehicles within the LG fleet. He/she ensures that items are addressed and arranged in accordance with the office schedule and the LG’s needs; 
  • Maintain accurate, up-to-date travel logs and maintenance records;
  • Coordinate any additionally needed security personnel with the required departments (LG office, Indiana State Police etc.);
  • Work with various state officeholders (Governor, Secretary of State, Attorney General, etc.) as a touchpoint for event requests, constituent concerns, and appearances. He/she provides information to the offices in an effort to maximize the LG’s presence while assisting them with agency-related issues they may encounter;
  • Support the office's communications work by occasionally arranging unplanned, on-site media interactions and distributing any additional needed media requests to the communications director;
  • Support the office's communications work by taking photos and videos of the Lieutenant Governor as requested at events and meetings;
  • Provide assistance to the LG as needed with technology, including serving as a contact between the LG and Indiana Office of Technology and the agency security coordinators;
  • Assist the office with award presentations, thank you notes, birthday cards, retirement certificates, etc. Occasionally, maybe solely responsible for handling these tasks.

What You'll Need for Success:

  • Valid driver's license and at least 5 years of driving experience.
  • Outstanding driving skills, including a clean driving record.
  • Working knowledge of Windows and Apple products.
  • Proficiency in using GPS devices.
  • Knowledge of Indiana geographically.
  • Ability to problem solve and address schedule changes quickly while supporting the Lieutenant Governor.
  • Able to be trustworthy and discreet with sensitive and confidential information.

Supervisory Responsibilities/Direct Reports:

This role does not provide direct supervision to direct reports.
