Role Overview:

The Operations Coordinator serves as the initial point of contact for the agency’s Commission members, external constituent services, and select agency partners across the state. The Operations Coordinator provides administrative support for agency operational activities and information technology support to agency staff. The Operations Coordinator is charged with having a strong understanding of the agency's programs and initiatives to enhance customer service and support staff.  This position is located in the downtown Indianapolis agency offices and is not eligible for remote or hybrid work schedule.

 

Salary Statement

The salary for this position traditionally starts at $45,000 but may be commensurate with work experience or education.

 

A Day in the Life:

The essential functions of this role are as follows: 

  • Serve as the initial point of contact with the office; provide excellent customer service to office guests, callers to the main phone line and inquiries sent to the agency email. Assist with upkeep of agency files, including Commission staff, members, and other directories.  Assist with updates and edits to specific areas of the agency’s website.
  • Provide administrative and information technology support throughout the new hire process (including seating chart updates, monitor/laptop setup, hardware requests); work closely with various departments to onboard new hires; maintain a new employee reference manual and IT how-to guides for agency staff.
  • Serve as first point of contact for IT help for agency staff and operations including submission/monitoring of ServiceNow tickets, scheduling printer services and maintain printer supplies, ordering and managing IT hardware, keeping IT hardware, such as Owls and MiFis, updated for agency use, and managing business cell phones for agency Outreach Coordinators.
  • Serve as an agency travel coordinator, arrange travel for agency staff and invited guests, generate and upload travel authorizations and associated travel receipts to Peoplesoft and collaborate with finance division to ensure accuracy on travel credit card and other travel expenses.
  • Provide support during the planning and preparation of various agency-sponsored meetings, conferences and events including conference room reservations, parking assistance, printing of materials, and preparing Commission member paperwork.
  • Serve as liaison for building management, including point of contact for building access (fobs, key codes) with landlord and serve as safety warden for the agency. Submit maintenance requests through building tenant portal and attend occasional building operations meetings.
  • Serve as liaison for Cybersecurity trainings awareness as well as agency initial point of contact for certain Indiana Office of Technology (IOT) initiatives.
  • Manage office supply orders and routinely stock office inventory.  Retrieve, organize and distribute office mail.
  • Perform various general support duties as assigned

What You'll Need for Success:

You must meet the following requirements to be considered for employment: 

  • Proficiency in technology and Microsoft applications, Windows operating systems and standard office equipment.
  • Must possess the ability to multitask and handle multiple interruptions with minimal errors; must have strong time management skills and attention to detail.
  • Exceptional customer service skills; must possess the ability to troubleshoot and resolve issues.

Related work experience or advanced education related to communications, human resources, information technology, or business management background preferred. 

 

Supervisory Responsibilities/Direct Reports:

This role does not provide direct supervision to direct reports.
