Role Overview:
The Small Business Operations Manager is responsible for assisting the Director of Small Business in financial management, operations, and administration of small business programming and initiatives, including the Indiana SBDC.
Salary Statement:
The salary for this position is $63,787 - $66,000.
A Day in the Life:
Operations:
- Develop, implement and maintain operational processes including but not limited to onboarding/off-boarding, monthly reporting, annual compliance, and network operation policies and procedures
- Oversee monthly quality control, analysis, and tracking of performance metrics by regional offices for reporting and troubleshoot regional questions regarding MIS input and usage
- Oversight for client, host and stakeholder satisfaction surveys and reporting
- Identify best practices and improve internal systems with an eye toward future needs and budget realities
Financial:
- Review, process, and monitor contractor invoices and monthly financial packets from regional offices for submission to state and federal funders
- Maintenance and review of Program Income Reports for Regional and Statewide offices
- Evaluate income monthly, compare against deposits into Program income account, and provide necessary documentation for reimbursement of activity
Administration:
- Assist in completion of grant proposals, including narrative and budget
- Assist in completion of annual regional office performance and financial reviews
- Generation of monthly, quarterly, semi-annual, and annual reports for funders, stakeholders, and resource partners, including, but not limited to the U.S. Small Business Administration, the Indiana Economic Development Corporation, and regional hosts, including universities and chambers. These reports include metrics/performance updates; uploads to the federal government on quarterly advising activity, and tracking delivery of workshops, confirming sessions and attendance
- Support planning and execution of events and meetings, including locations, logistics, agendas, etc.
- Lead monthly calls, reviewing performance data and other special projects to assist in achievement of performance goals
- Assist with implementation of strategic plan
- Become proficient in Neoserra customer relationship management system and serve as the local subject matter expert for the Network, providing guidance and acting as the go-to resource for training, troubleshooting, and best practices.
What You'll Need for Success:
Education:
- Minimum: Bachelor's Degree in public administration, business or other directly related field
Experience:
- Minimum: 2 years of experience in administrative/financial management; significant computer experience, including MIS systems, using Microsoft Office
- Preferred: Public sector or grants management, knowledge of organizational tools
