Role Overview

As the HR Service Center Representative, you will be responsible for the Shared Services Section. Your work is a process in nature, requires the application of human resources policies and procedures, and regularly entails authorized access to confidential employee information.  In this position, you also provide a variety of technical and clerical functions. 

 
Salary Statement

The salary for this position traditionally starts at $37,648.00 but may be commensurate with education or work experience.

 

A Day in the Life:

The essential functions of this role are as follows: 

  • Assist smaller centralized agency's HR director with the hiring process such as creating requisitions, initiating background checks, creating offer letters and final offers. 
  • Contact prospective employees' previous employers and education institutions for the purposes of validating work and education history. 
  • Analyze and evaluates applicability of information collected. 
  • Data entry of information verified over the phone or email (i.e. employment dates, graduation date, degree achieved, etc.). 
  • Persistently finds the appropriate source to verify information, including multiple organizations and levels of authority. 
  • Assist agencies with the hiring process, including completing employment and education verifications and background checks. 
  • Assist HR staff with the process as it pertains to applicant verifications. 
  • Aid as needed or requested in all areas of HR including special projects, such as assistance with file maintenance per the personnel file retention guidelines. 
  • Aid as needed with administrative support to the HR Data and Shared support divisions. 
  • Perform other related duties as assigned. 
  • Assist in managing the SPD Helpdesk by evaluating and routing IOT tickets to the appropriate SPD division. 
  • Accurately completes data entry for assigned agencies related to employee records. 
  • Complete termination process for voluntary terminations and retirements.

What You'll Need for Success:

You must meet the following requirements to be considered for employment: 

  • Ability to use a human resource information system (HRIS) at an intermediate to advanced level. 
  • Ability to follow instructions. 
  • Ability to operate commonly used manual and automated office equipment. 
  • Ability to work with a variety of Microsoft Office software products at an intermediate to advanced level. 
  • Ability to type in a timely and accurate fashion. 
  • Ability to perform a variety of tasks simultaneously. 
  • High level of organizational skills. 
  • Ability to work independently. 
  • Specialized knowledge of personnel forms and their purpose. 
  • Ability to attend to detail and maintain accuracy and confidentiality. 
  • Ability to effectively communicate.
  • Able to perform essential functions with or without reasonable accommodation.

You must satisfy the following requirements to continue employment. 

  • Considerable knowledge of the State of Indiana’s human resources functions, systems, processes, procedures and practices. 
  • Considerable knowledge of the departmental functions and the organization of the agency. 

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
