About the Job:

This position serves as a Shared Services Support Floater, assisting the HR Data, Verifications, and Shared Services Division. You will utilize the HR PeopleSoft system by reviewing, auditing, and approving HR actions related to State employees and contingent workers. Work is broad in nature, requires the application of human resources policies and procedures and regularly entails authorized access to confidential employee information. You will also provide a variety of technical and clerical functions.

A Day in the Life:

The essential functions of this role are as follows:

  • Assists centralized agencies with the hiring process by completing employment and education verifications and background checks.
  • Partners with all State agencies utilizing the HR PeopleSoft system by reviewing, auditing, approving or requesting correction for employment actions taken with an employee or contingent worker to include hire/rehire, all leave administrations, promotions, demotions, department/reports to or location changes, transfers, pay adjustments, and personal information changes.
  • Utilizes the VFire ticketing system for questions, corrections and manual workflow from customers. Ensures that status updates are entered timely and accurately depict situation to enable seamless assistance to customer base.
  • Provides assistance as needed or requested related to maintenance of employee records for Long-Term Disability.
  • Assists with processing I-9's in the E-Verify system for Centralized onboarding.
  • Researches and prepares various reports using Access, Excel, Word, and other reporting tools.
  • Provides assistance as needed or requested in all areas of HR including special projects, such as assistance with file management and I-9 compliance.
  •  Responds timely to customer inquiries with 48 business hours.
  • Performs other related duties as assigned.

What You'll Need for Success:

  • High School Diploma or High School Equivalency (HSE);
  • Extensive knowledge of office practices, procedures and programs;
  • Extensive knowledge of composition, grammar, spelling and punctuation;
  • Thorough knowledge of PeopleSoft navigation and processes;
  • Ability to use PeopleSoft at an intermediate to advanced level;
  • Ability to follow oral or written instructions;
  • Ability to operate commonly used manual and automated office equipment;
  • Ability to work with a variety of Microsoft Office software products at an intermediate to advanced level;
  • Ability to type in a timely and accurate fashion;
  • Considerable knowledge of the State of Indiana’s human resources functions, systems, processes, procedures and practices;
  • Thorough knowledge of the departmental functions and the organization of the agency;
  •  Ability to perform a variety of tasks simultaneously;
  • High level of organizational skills;
  • Ability to work independently;
  • Specialized knowledge of personnel forms and their purpose;
  • Ability to attend to detail and maintain accuracy and confidentiality;
  • Ability to communicate effectively.

Supervisory Responsibilities/Direct Reports:

This role does not provide direct supervision to direct reports.
