About the Office of Community and Rural Affairs (OCRA)

The Office of Community and Rural Affairs works with local, state, and national partners to provide resources and technical assistance that aid communities in shaping and achieving their vision for community and economic development. We award grants that fund public gathering places, fix water and sewer infrastructure, restore historic structures, build community facilities, and revitalize commercial districts. These funds help communities improve their quality of life and ensure the health and safety of their citizens.

 

Role Overview:

The Executive Assistant is a vital member of the OCRA team, providing comprehensive support across office operations, program coordination, and community engagement. This role represents OCRA, the State of Indiana, and the Lt. Governor’s Office professionally and proactively. The Executive Assistant ensures smooth scheduling, communication, and logistical execution for meetings, events, trainings, and operational processes.

 

Salary:

The salary for this position traditionally starts at $47,320.00 but may be commensurate with education or work experience.

A Day in the Life:

Administrative & Operational Support

  • Serve as primary support to the OCRA team across all programs and initiatives.
  • Maintain and update operational policies, procedures, and orientation materials.
  • Handle sensitive information and conversations with discretion and professionalism.
  • Provide consistent customer service to internal and external stakeholders.

Scheduling & Logistics

  • Coordinate and schedule meetings, speaking engagements, trainings, and workshops.
  • Reserve meeting rooms, set up conference lines, and provide technical support as needed.
  • Assist with travel arrangements and vehicle scheduling for central office staff.
  • Manage fleet vehicle maintenance, detailing, and audit preparation.

Event & Program Coordination

  • Assist in planning OCRA-hosted conferences and trainings, including registration and sponsorship fee collection.
  • Coordinate internal and external conference registration with the Business Office.
  • Organize monthly all-staff meetings and prepare related materials.
  • Work with the Lt. Governor’s team on representation and logistics for community events.

Technology & Communication

  • Liaise with the Communications team for event and engagement support.
  • Draft, edit, and manage written and electronic correspondence.
  • Collect and analyze survey data to support program development.
  • Maintain filing systems and assist with document scanning and distribution.
  • Learn and use the agency's customer relationship management (CRM) system.
  • Build simple application platforms or forms to support program workflows.

Team & Office Operations

  • Answer the main OCRA line and route inquiries as needed.
  • Deliver incoming mail to appropriate team members.
  • Track supplies and business cards, and coordinate IT needs for staff onboarding.

This position is exempt from overtime compensation for additional work hours that may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and/or paid leave taken to receive their base biweekly salary.

What You'll Need for Success:

  • Bachelor’s degree or equivalent experience.
  • Minimum 3 years as an executive assistant, administrative support, or office manager.
  • Outstanding written and verbal communication skills.
  • Strong organizational skills, attention to detail, and ability to multitask.
  • High level of professionalism and customer service orientation.
  • Proficiency in Microsoft Office Suite and calendar management; willingness to learn new tools.
  • Familiarity with OCRA’s mission, programs, and partner ecosystem.
  • Ability to travel occasionally within Indiana.
  • Collaborative mindset with the ability to work independently.
