Indiana State Museum and Historic Sites:

The Indiana State Museum and Historic Sites (ISMHS) is a statewide museum system with 12 locations, including a central museum based in Indianapolis. Our mission is to serve as a catalyst for informal lifelong learning that connects the stories of real people, places, and things. Through the museum and its 11 historic sites, visitors are able to engage with the past and connect it to the present, carrying their newfound knowledge and experiences with them long after their visits end.

 

Salary:

The starting salary for this role is $45,000 per year. 

About the Job:

As the Development Administrator, you will further the mission of the Indiana State Museum and Historic Sites (ISMHS) by providing administrative support of the development department’s diverse efforts to secure charitable contributions and to strengthen relationships with ISMHS funders, including individuals, corporations, and foundations.

You will be a vital part of the development team and reports to the Vice President of Development. As the Development Administrator, the position will be based in downtown Indianapolis and occasionally be required to travel statewide to work directly with the communities surrounding ISMHS’ 12 locations, as well as to work occasional weekends and evenings.
 

A Day in the Life:

The essential functions of this role are as follows: 

 

  • Manages fundraising aspects in museum-wide database (Blackbaud Altru) to ensure on-going accuracy and integrity of data and records.
  • Conducts daily entry of all gifts and prepares timely acknowledgment letters, tax receipts invoicing and pledge reminders. 
  • Reconciles monthly financials with the finance department.
  • Performs donor and prospect tracking by running reports/queries, importing/exporting data and executing mail merges.
  • Coordinates calendar scheduling, logistics and preparations of meetings to ensure an exceptional experience with the development office and ISMHS.  
  • Support donor relations efforts in collaboration with development colleagues in providing recognition, gratitude, and impact reports to ISMHS donors.
  • Other duties as assigned is an expectation that each development team member have, to meet the changing needs of the organization.

What You’ll Need for Success:

  • Bachelor’s Degree’s or equivalent years of related work experience
  • A strong work ethic supported by commitment and excellent follow-up and follow-through
  • Adapt communication style to suit different audiences
  • Strong organizational, project management and analytical skills with ability to work in a fast-paced environment with strong attention to accuracy and detail
  • Ability to work with the public, specifically with various donors and stakeholders
  • Ability to synthesize information into clear next steps
  • Ability to explain and interpret budgets and data analysis
  • Ability to exercise discretion and independent judgment, maintain the highest levels of confidentiality and handle situations with diplomacy 
     

ISMHS Expectations

 

  • Visitor-centric: Develop, provide and/or execute innovative approaches to connect with visitors to all 12 locations within the museum system. Make visitors feel welcome when they arrive, cared for and engaged during their visit and feel eager to return.

 

  • Utilize 12-location museum system: Serve as a resource and seek out resources from appropriate divisions across the entire ISMHS museum system. Help ISMHS stakeholders (visitors, members, partners, educators, etc.) understand the value they receive by engaging with the ISMHS locations throughout the state.

 

  • Externally focused: Seek out opportunities to showcase our presence in the community/communities where I live and work by serving on community committees/boards, engaging in community events, attending community conversations about issues that may either affect the ISMHS or that we can influence, write articles for community/trade publications about my area of expertise at the ISMHS and talk to my friends, family and professional contacts about the ISMHS.
     

Supervisory Responsibilities/Direct Reports:

This role does not provide direct supervision to direct reports.
