This position traditionally starts at $35,568 per year and may be commensurate with education and work experience.

About the Job:

The Contract Specialist reports to the Director of the Office of Academic Planning and Operations and works with other assessment staff, curriculum consultants, and other academic team contractors.  The Specialist is responsible for maintaining contracts, oversight of scope and schedule related to the federal and state accountability programs and teaching and learning grants and contracts.  The Specialist stays abreast of current policy in order to answer questions related to associated work as needed. 

A Day in the Life:

The essential functions of this role are as follows: 

•    Assists with the implementation of state and federal accountability programs.

•    Define and monitor contract performance metrics

•    Monitor contract and licensing expirations and initiate action with business owners.

•    Reviews risks in Master Project Plan in relationship to executed contracts.

•    Facilitates contract execution with testing contractors, including scheduling and deliverables and interaction with Master Project Plan. 

•    Develops scope of work documents with collaboration from team members and follows protocol for establishing as yellow sheets, grants or formal contracts.

•    Manages contract executions and amendments according to defined internal schedules and following state procurement guidance.

•    Reviews invoices related to contracts to ensure alignment to budgets or billing schedules prior to payment.

•    Attends applicable vendor calls to note upcoming work and any potential deviations from approved contract terms.

•    Facilitates procurement process including but not limited to processes with the Indiana Department of Administration.

•    Assists with the day-to-day aspects of Academics programs.

•    Communicates clearly and efficiently with educators, contractors, and IDOE staff.

•    Works cooperatively and collaboratively with contractors and IDOE staff members.

•    Assists the Division Assistant Director, Directors, and Chief, as needed.

•    Adheres to local, state, and federal laws and policies.

What You'll Need for Success:

This person must have the following requirements to be considered for employment: 

•    Bachelor's Degree or equivalent experience
•    Contract management experience required
•    Project management certification and/or experience preferred
•    Business or project management degree preferred 
•    Ability to work as part of a team
•    Strong interpersonal and communication skills
•    Experience working in and with schools
•    Attention to detail
•    Proficient in Microsoft Office and Google Drive software, specifically Word, Excel
•    Ability to maintain detailed records and files

Supervisory Responsibilities/Direct Reports:

This role does not provide direct supervision to direct reports.
