The purpose of the position is to support the operation of the agency functions through data entry of any court documents for compliance in proper identity to ensure the agency is not liable in any legal matters concerning such documents.

 

A day in the life:

 

The essential functions of this role are as follows:

  • Assist in identifying, reporting and testing of STARS database defects or enhancements affecting the application of a court document within the Record Management Department. Reporting any issues to the Program Coordinator or Program Director
  • Provide customer service to internal and external customers with respect, expediency, thoroughness and accuracy possible
  • Investigate inquiries from internal and external customers including Contact Center, Branch Support, Legal Division, External Affairs, Branch Operations, Record Management, Document Management, Legislative Liaison, Law Enforcement, Indiana/out-of-state courts/motor vehicle agencies and the public. Respond to inquiries in a timely and professional manner.
  • Return court documents to the courts by mail that does not have enough information to process in STARS
  • Sort and name faxed documents from the L:drive and print the documents to FORTIS in the initial review query

Additional duties:

 

  • Data entry of traffic, non-traffic offenses received from Indiana Courts and other licensing jurisdictions to Indiana and Out of State driver records
  • Data Entry of, but not limited to; tickets, points, withdrawals, convictions with accuracy
  • DUI entry of, but not limited to; probable cause, alcohol related offences, drug charges, HTV Probationary and out of state DUI’s with accuracy
  • Court Order entry of, but not limited to; judgments, child support, expungements, fee waivers, interlocks, out of state OWI and deferments with accuracy.
  • Enter ACD codes into STARS from out of state citations.
  • Contact Indiana courts regarding discrepancies in court procedure for reporting convictions, suspensions or reinstatement of driving privileges
  • Research customer’s driver record issues regarding licensing, citation processing and suspensions. Develop alternate procedures for properly licensing, processing citations and applying suspensions when the database functionality does not allow for automation
  • System generate Indiana driver license number when applicable
  • Interpret Indiana State Statue for correct entry of court documents
  • If court orders are contrary to law, court documents must be submitted to the BMV legal department for any actions deemed necessary
  • Ensure the confidentially and security of all customer records properly be concealed at all times to avoid negative impact for customers and the agency.
  • Notify management of all discrepancies that arise due to system issues or procedural issues
  • Be able to meet and maintain departmental quota
What we're looking for:

 

  • High Diploma or equivalent and a minimum of 1 year work experience.

  • Extensive knowledge of business-related software including but not limited to Word, Excel, Access, PowerPoint, Outlook, etc.

  • Ability to rapidly gain competency with the BMV STARS applications as well as Indiana statutes and regulations pertaining to motor vehicle laws

  • Strong verbal and written communication skills
