Role Overview

Existing within Branch Operations, this Administrative Assistant position assists Branch Operations personnel with administrative duties to support customer needs and the overall accountability and success of the license branch system and the BMV.  The Administrative Assistant supports the mission of the Bureau of Motor Vehicles Commission through assisting the Branch Operations Department in administrative duties as they relate to the department.


Salary Statement

The salary for this position traditionally starts at $47,320.00.

 

A Day in the Life:

The essential functions of this role are as follows: 

  • Comprehends deadlines and areas of responsibilities of the Regional Managers to efficiently assist in meeting goals
  • Maintain branch visit schedules for Chief Operating Officer, Deputy Commissioner of Branch Operations, Executive Director of Branch Operations, and the Branch Operations Manager
  • Provide administrative support to the Branch Operations department’s daily operations
  • Monitor & completing the inventory of office products and supplies within the departments assigned to Branch Operations, which includes completing internal requisitions
  • Coordinates and leads Town Hall meetings for branch staff
  • Coordinates quarterly Regional Operations Managers meetings, and coordinates Branch Manager meetings
  • Organizes programs, meetings, events, or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget
  • Complete records and/or submit reports on various financial and accountability processes for the assigned areas
  • Monitor and completing the inventory of name badges and polo shirts for branch staff
  • Reserve hotel rooms for branch operations associates, if applicable
  • Easily communicate to the proper chain of command any concerns as they may arise

This position is exempt from overtime compensation for additional work hours which may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and/or paid leave taken to receive their base biweekly salary.

What You'll Need for Success:

You must meet the following requirements to be considered for employment: 

  • High school diploma and five years of experience with the Bureau of Motor Vehicles or equivalent service industry experience
  • Customer Service – Exhibits courteous, respectful, and friendly demeanor; Completes work in a timely and efficient manner; Produces accurate and quality results; Provide premiere customer services
  • Professionalism – Represents the agency in a positive and professional manner; Maintains a clean and safe workplace
  • Teamwork – Displays an ability to work and communicate successfully with fellow employees; Follows and supports Bureau policies and procedures
  • Proven ability to interact and verbally communicate with a variety of employees and customers, both on a one-on-one basis and in groups
  • Proven ability to present information to clients, customers, and employees
  • Ability to write reports and operational correspondence
  • Ability to think logically in order to troubleshoot, analyzes situations, and makes sound decisions
  • Proficient computer skills, including working knowledge of Microsoft Word, Microsoft Excel, e-mail systems, and STARS
  • Ability to operate office equipment, including copiers, fax machines, and phones
  • Knowledge of basic machinery operation
  • Good knowledge of BMV services and STARS
  • Proven ability to handle multiple tasks simultaneously
  • Ability to travel up to 50 percent of the time to Central Office, branch locations, training, or branch-related community activities

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
