Role Overview:

As an AP/AR and Voucher Processor, you are responsible for recording receipts of goods and services in PeopleSoft Financials and creating accurate, compliant Accounts Payable vouchers for payment. You ensure that purchase orders, receipts, and invoices are fully aligned, supporting timely and precise payment processing in accordance with state policies, internal controls, and established financial procedures.

 

This position is located at the Indiana Government Center in Indianapolis, Indiana.

 

Salary:

This position traditionally starts at an annual salary of $39,000 but may be commensurate with education and job experience.

A Day in the Life:

Receiving / PO Receipt Entry:

  • Enter receipts for goods and services in PeopleSoft.
  • Verify that items received match the purchase order (PO) in quantity, price, and description.
  • Record partial, full, or multiple receipts as needed.
  • Attach delivery documents, packing slips, and service confirmations.
  • Communicate discrepancies to Purchasing or the vendor.
  • Ensure receipts are entered promptly to support voucher matching.

Voucher Creation:

  • Create PO and non PO vouchers in PeopleSoft.
  • Enter invoice header information, including invoice number, date, vendor ID, and amount.
  • Enter voucher lines and ChartFields.
  • Attach all required supporting documentation.
  • Apply correct payment terms and schedules.

Matching and Validation:

  • Perform 3 way match (PO, Receipt, Invoice).
  • Resolve match exceptions such as quantity variances, price mismatches, and missing receipts.
  • Run budget checks and resolve errors.
  • Validate vendor status and compliance requirements (e.g., W 9 on file).

Workflow and Approvals:

  • Submit vouchers into workflow for approval.
  • Monitor approval queues and follow up on pending items.
  • Communicate with departments to resolve missing or incorrect information.

Reporting and Reconciliation:

  • Run queries to monitor open receipts, pending vouchers, match exceptions, and budget check errors.
  • Assist with month end accruals and reconciliation.
  • Maintain audit-ready documentation for all receipts and vouchers.

What You'll Need for Success:

You must meet the following requirements to be considered for employment:

  • Broad knowledge of theories, principles, and practices of public accounting.
  • Broad knowledge of federal and state laws, policies and procedures pertaining to government accounting and bookkeeping.
  • Broad knowledge of agency function and organization.
  • Broad knowledge of automated accounting systems.
  • Ability to solve standard accounting problems.
  • Ability to evaluate and recommend modifications to existing accounting policy and procedures.
  • Ability to prepare and interpret financial statements and reports.
  • Ability to assist in budget preparation.
  • Ability to accurately perform arithmetic calculations.
  • Effective communication skills.
  • Able to perform essential functions with or without reasonable accommodation.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
