The general purposes of the Alcohol & Tobacco Commission's work, as defined by law, are:

The starting salary for this position is $28,366 per year.

About the job:

The Clerical Assistant performs a variety of relatively complex duties in a multifunctional area of the Alcohol and Tobacco Commission, Bartender Permits section.  The Assistant processes and provides technical support functions as it relates to processing and issuing Bartender License Permits for new and renewal applications. The Assistant works with a high degree of independence requiring technical knowledge of agency rules, regulations, statutes, and general services.

A Day in the Life:

The essential functions of this role are as follows:

  • Responsible for processing Bartender and Salesman License Applications and verifying data in the appropriate systems (BMV for any DWI//DUI convictions, Dept of Revenue Tax Protest) before issuing a permit.  
  • Responsible for processing a quota of 75 Bartender and Salesman License (Paper/Online) Applications per day.
  • Responsible for receiving and processing walk in customers’ Bartender and Salesman License application.
  • Responsible for receiving large sum of payment, completing transaction audits, processing and batching permits revenue by 3pm each day and submitting all revenue to the accounting department without errors. 
  • Assist on-line customers’ with resetting their password for completing and submitting online applications on the My License Office system. 
  • Assist and response to issues or inquires that arise from internal/external customers.
  • Assist with opening and sorting agency mail when assigned.

What we are looking for:

  • One (1) year clerical, secretarial, word processing experience, or related experience or accredited college training in a related field.
  • Specialized knowledge of the procedures involved in applying policies, programs, and activities of the department as well as working knowledge of other related commission programs and departments within the commission;
  • Specialized knowledge of available records and resource material and an ability to trace required information;
  • Practical knowledge of office organization, accepted clerical procedures, and management of bookkeeping or record keeping system;
  • Specialized knowledge of statutes, rules, and regulations affecting the work;
  • Basic knowledge of computer procedures;
  • Ability to compose technically accurate correspondence and reports using correct grammar, spelling, and punctuation;
  • Ability to work independently in solving problems, ensuring compliance with regulations, ensuring smooth work flow, and generating required work as appropriate;
  • Ability to work under pressure and to practice diplomacy, tact, and courtesy;
  • Ability to attend to detail and maintain accuracy and confidentiality;
  • Ability to read and interpret resource material including statutes and rules and practically apply such information.

Supervisory Responsibilities/Direct Reports:

This role does not provide direct supervision to direct reports.
