Salary

This position traditionally starts at an annual salary of $26,702 per year.

 

About the Job

The Administrative Assistant - Reports Processor works as a professional staff assistant within a state agency or facility.

A Day in the Life
  • Researches and prepares various reports on agency programs and/or procedures;
  • Prepares and maintains procedural manual for agency functions;
  • Reviews policies, plans and procedures for administrative soundness;
  • Coordinates the work of various sections of the agency or department;
  • Answers inquiries from the public concerning policy and procedures in assigned area;
  • Makes recommendations to administrator about procedures and methods to improve efficiency and effectiveness;
  • Required to produce high quality audit reports to elected officials and the public.
  • Establishes and maintains a strong working relationship with multiple levels of professional staff located within the office and throughout the State.
  • Actively works to meet the report publication deadlines established by the State and Federal officials.
  • Prepares reports using information obtained from office supervisors and source documents.
  • Proofreads, verifies accuracy and makes other reviews for compliance with form, content, and procedures.
  • Makes process improvement recommendations to supervisor to improve efficiencies
What We're Looking For
  • High School diploma or GED
  • Bachelor Degree is preferred
  • 1 year of experience in office environment preferred.
What You'll Need For Success
  • Specialized knowledge of the basic principles and theories of administrative management;
  • Working knowledge of research techniques and report composition;
  • Ability to analyze procedures and policies and write procedural manuals and recommend improvements;
  • Ability to coordinate the work of section staff;
  • Effectively communicate, both orally and in writing;
  • Ability to maintain cooperative work relationships.
  • Considerable knowledge of methods for compilation of statistical data.
  • Specialized knowledge of the preparation of final reports.
  • Practical knowledge of laws and regulations pertaining to agency functions.
  • Highly proficient in word processing software and hardware such as; Microsoft Word, Excel, Adobe Professional, and scanner.
  • Comprehensive knowledge and skill in the specialized editing for proper spelling, grammar and punctuation; alphabetical, numerical and chronological sequences; business letter and report styles and formats; basic office equipment operation.
  • Ability to complete assignments in a work environment in which deadlines must be met.
  • Ability to maintain confidentiality.    
  • Ability to coordinate multiple on-going tasks.
  • Must give great attention to details.
Supervisory Responsibilities/Direct Reports:
This role does not provide direct supervision to direct reports.
